Administration Assistant, Walkers Shortbread - Aberlour

This role will support admin tasks for the Managing Director and PA to Managing Director.

DUTIES AND RESPONSIBILITIES

  • To obtain quotes for production equipment
  • To maintain log of production related expenditure.
  • To obtain quotes and to co-ordinate with external contractors while on site.
  • To monitor energy use / meter readings & Invoices within factories & offices
  • To record all insurance claims and settlements.
  • To ensure costings are current and correct.
  • To monitor and log all vehicle related issues.
  • Manage all residential properties and liaise with residents as required.
  • To liaise with shops and contractors regarding any repairs.
  • Manage service & maintenance of all security systems.
  • General administration duties as required, including managing travel arrangements.

SKILLS / EXPERIENCE

  • Proficient in Microsoft Office Suite, particularly Excel, with experience creating spreadsheets, managing data, and producing accurate reports to support office operations.
  • Highly organized and detail-oriented, ensuring smooth day-to-day administrative processes and accurate documentation.
  • Strong communication and interpersonal skills, fostering positive relationships with colleagues, clients, and external partners.
  • Skilled at managing multiple priorities, balancing administrative duties, scheduling, and task coordination in a fast-paced office environment.
