Key Responsibilities

We are seeking a highly organised and detail-focused Finance & Operations Administrator to support our finance, production, and sales teams. This is a varied, hands-on role ideal for someone who enjoys working across finance administration, stock planning, and operational coordination within a growing business.

You will work closely with the Finance Director, accounting staff, production, and purchasing teams to ensure smooth financial operations, strong cashflow control, and accurate stock planning.

Banking & Payments

  • Operate company bank accounts, making payments as required
  • Reconcile bank transactions with statements, assisting accounting staff where necessary

Insurance Administration

  • Manage company insurance policies and renewals, including motor insurance and breakdown cover
  • Handle insurance claims as required

Wages & Payroll Information

  • Prepare wage information by collating timesheets, expenses, holidays, and sick pay data

Debtors & Creditors

  • Assist with credit control of debtors, following up outstanding balances where required
  • Manage correspondence and calls with creditors regarding payment queries or arrangements

Supermarket Sales Orders

  • Monitor supermarket portals for orders, payments, and remittance advice
  • Assist with processing supermarket orders, including booking and delivery coordination

Trade Sales Orders

  • Check on-trade portals for new orders when required
  • Process orders through out IT system and ensure relevant teams are aware of order requirements

Stock Control & Brew Planning

  • Maintain accurate stock control across all sites, ensuring our IT system is updated for all stock movements
  • Assist with ensuring brew plans meet stock requirements
  • Track run rates and brew plans to maintain sufficient stock availability

Cashflow & Invoice Finance

  • Respond to queries and provide remittance information as required

Cashflow Planning

  • Process and monitor proforma invoice payments for orders requiring upfront payment
  • Ensure the Accountant and Finance Director are kept informed of upcoming payments, payment arrangements, and cashflow commitments

Accounts Support

  • Assist accounting staff with day-to-day accounting tasks and queries as required

Utilities Management

  • Support accounting staff with business utilities (gas, electricity, water), including:
  • Contract renewals
  • Submission of meter readings
  • Ensuring estimated bills are corrected to actual usage

Communication & Liaison

  • Liaise with Production teams (Spey Valley, Broughton, and third-party producers), Purchasing, Accountant, accounting staff, and the Finance Director as appropriate

About You

  • Previous experience in finance administration, accounts support, or operations coordination
  • Strong organisational skills with excellent attention to detail
  • Confident communicating with internal teams and external suppliers
  • Comfortable working with finance systems, portals, and stock management tools
  • Able to manage multiple priorities in a part-time role

Experience in manufacturing, FMCG, or the drinks industry would be advantageous but is not essential.
