Salary range From £28,500 per year

We're looking for a highly motivated person with great communication skills to support our Executive Team as their Personal Assistant. You will be responsible for day-to-day diary management and appointment organisation. As PA, you will also manage communications to our employees through social media, magazines and email.

Diary Management

  • Diary management for the Executive Team, Chair and Vice Chair
  • Setting appointments and prompting arrangements
  • Booking travel and accommodation, arranging visas and preparing travel itineraries
  • Supporting meetings by ensuring meeting rooms and catering are organised
  • Issuing invitations to events, collating RSVPs and arranging catering where appropriate
  • Organising staff briefings
  • Responsible for the Garvald facility, ensuring meeting rooms, reception area and kitchen area are maintained to a high standard

Communications

  • Updating and sharing information on 'screens' in staff communal areas
  • Management of employee Facebook group, 'The Hive'
  • Creating and collating information to produce staff magazine, 'The Yarn'

Additional

  • Development, issue and collation of employee surveys
  • Organising annual Pensioners Lunch in Elgin and Hawick
  • Other ad hoc tasks as required by the Executive Team

About You

  • Competent in Microsoft packages, especially PowerPoint and Outlook
  • Confident communicator with people of all levels, written and verbal
  • Incredibly organised with an eye for detail
  • Self-starter with the ability to handle ambiguity, work in a fast-paced environment, meet tight deadlines, manage multiple projects simultaneously and adjust as circumstances change
  • Passion for social media and content creation
  • Experience supporting operations to an executive level
